CareCommons (“we,” “our,” or “us”) provides a multi-tenant software platform for home care agencies to schedule visits, manage caregivers and clients, document care, communicate with families, and handle billing. This Privacy Policy explains how we collect, use, store, and protect information through the CareCommons application and website.

By using CareCommons, you agree to this Privacy Policy. If you do not agree, please do not use the Services.

1. Information we collect

Information you provide

  • Agency and account data: agency name, contact information, billing details, and administrator credentials.
  • User profile data: names, email addresses, phone numbers, roles, and login credentials for admins, coordinators, caregivers, and family members.
  • Client and care data: client names, dates of birth, addresses, emergency contacts, care plans, visit notes, task completion records, and uploaded documents.
  • Communication data: messages sent through the in-app messaging feature.

Information collected automatically

  • IP address, browser type, device type, and operating system.
  • Pages visited, features used, and session duration.
  • Location data when caregivers voluntarily clock in or out of a visit using the mobile visit-verification feature.
  • Cookies and similar technologies used for authentication and analytics.

2. How we use information

  • Provide, maintain, and improve the CareCommons platform.
  • Authenticate users and enforce role-based access controls.
  • Enable scheduling, visit verification, care documentation, and billing workflows.
  • Facilitate communication between agency staff, caregivers, and authorized family members.
  • Generate invoices, payroll summaries, and operational reports for agency use.
  • Respond to support requests and send service-related notifications.
  • Monitor usage and improve security and performance.

3. How information is shared

We do not sell personal information. We share information only in the following circumstances:

  • Within an agency: agency staff, coordinators, and caregivers can see the client, schedule, and visit data their role authorizes.
  • Family members: family members linked to a client may view a limited, read-only view of that client’s upcoming visits and completed visit summaries.
  • Service providers: we use trusted hosting, authentication, analytics, and payment-processing providers who are bound by confidentiality and data-protection obligations.
  • Legal compliance: we may disclose information when required by law or to protect our rights and users’ safety.

4. Data security

We use industry-standard measures to protect information, including encryption in transit, access controls, row-level security policies, and secure cloud hosting. No online system is completely secure, and we cannot guarantee absolute protection.

5. Data retention

We retain information as long as an agency account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Agencies can request deletion of their data by contacting us.

6. Your choices and rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or export your personal information. Agency administrators can manage most user and client data directly within the application. For other requests, contact us at the email below.

7. Third-party links and services

CareCommons may integrate with third-party services or link to external websites. We are not responsible for the privacy practices or content of those third parties.

8. Children’s privacy

CareCommons is intended for use by home care agencies and their authorized users. We do not knowingly collect personal information directly from children under 13.

9. Changes to this policy

We may update this Privacy Policy from time to time. The latest version will always be posted on this page with the effective date noted above.
